What personal data we collect

3.1 Information you give us

Our contact forms collect only:

● Your name

● Your email address

● The content of your message

● Your acceptance of this policy (consent checkbox)

You are not required to provide any of this to browse the site. Providing it is voluntary, and you may choose not to answer any question.

3.2 Information collected automatically

When you visit the site, our hosting provider and analytics tools automatically record technical information, including your IP address, browser type and version, device type, operating system, the pages you visit, the time and duration of your visit, and the site that referred you.

3.3 Cookies and analytics

This site uses cookies — small files stored on your device. We use:

● Essential cookies, required for the site to function and to remember your cookie preferences.

● Analytics cookies, through Google Analytics 4 (property G-B3BK4Y21T6), which help us understand how visitors find and use the site. This data is aggregated and is not used to identify you personally.

A banner lets you accept or decline non-essential cookies. You can also delete or block cookies through your browser settings; the site will continue to work, though some features may not display as intended.

3.4 Health and medical information — not collected on this website

Mission trip participants are asked to provide health and medical information as part of the application and safe-travel process. This is NOT collected through this website, and is handled as follows:

● Under Article 5 of Law 1581 of 2012, health data is sensitive data (dato sensible).

● You are not obliged to provide sensitive data, and we will tell you so at the moment we request it.

● We request your explicit, separate and written authorization before collecting it.

● It is used only to protect your health and safety and that of the communities we serve during a mission, to meet medical and travel requirements, and to respond to an emergency.

● Access is restricted to the staff and medical personnel who need it for those purposes.

Why we use your data, and on what basis

We process personal data only for the purposes below, with your prior, express and informed authorization as required by Article 9 of Law 1581 of 2012:

● To answer your enquiry, message or partnership request.

● To give you information about mission trips, brigades and church partnerships that you have asked for.

● To coordinate the participation of churches, teams and volunteers in our projects.

● To send you updates about our work, where you have asked to receive them.

● To maintain and improve this website and understand how it is used.

● To comply with Colombian legal, accounting and reporting obligations.

We do not sell, rent or trade personal data. We do not use your data for automated decision-making or profiling.

Who we share your data with

We share personal data only as far as necessary, and with parties bound to protect it:

● Service providers who operate the website, email and analytics on our behalf, including our hosting provider and Google (Google Analytics).

● Organizations within the Medical Ministry International family — principally MMI International (Canada) and MMI US — where this is necessary to coordinate a mission trip, a church partnership or a donor relationship.

● Authorities, where we are legally required to disclose information.

Some of these providers and affiliates are located outside Colombia, including in the United States and Canada. Where personal data is transferred internationally, we do so in accordance with Articles 26 and 27 of Law 1581 of 2012, either with your authorization or under the safeguards that provision requires.

How long we keep your data

We keep personal data only as long as needed for the purpose it was collected for, and for as long as Colombian law requires us to retain records. Enquiries received through the contact form are kept for two years, unless you ask us to delete them earlier or you become a participant, partner or donor, in which case the relevant relationship record is kept for as long as that relationship lasts and for the legally required period afterwards.

How we protect your data

We apply reasonable administrative, technical and physical measures to protect personal data against loss, misuse, unauthorized access, disclosure or alteration. These include restricted access on a need-to-know basis, encrypted connections (HTTPS) on the website, and confidentiality obligations for staff and volunteers. No system can be guaranteed completely secure, but we take this duty seriously and respond promptly to any incident

Children’s data

This website is not directed at children, and we do not knowingly collect personal data from minors through it. Where a minor takes part in a mission trip, we collect their data only with the authorization of a parent or legal guardian and in accordance with Article 7 of Law 1581 of 2012 and the best interests of the child. If you believe a minor has provided data through this site, contact us and we will delete it.

Your rights

As the owner of your personal data (titular), Colombian law gives you the right to:

● Know, update and rectify your personal data, including data that is partial, inaccurate, incomplete, misleading, or whose processing is prohibited.

● Request proof of the authorization you gave us, except where the law does not require it.

● Be informed, on request, about how your data has been used.

● File a complaint with the Superintendencia de Industria y Comercio (SIC) for breaches of Law 1581 of 2012, once you have exhausted the process with us.

● Revoke your authorization and/or request the deletion of your data, where the SIC has determined that we have acted contrary to the law and the Constitution, or where no legal or contractual duty requires us to keep it.

● Access your personal data free of charge.

How to exercise them

● Complaints (reclamos): we will acknowledge within two (2) business days and resolve within fifteen (15) business days. If we cannot, we will tell you why and when, which will be no later than eight (8) business days after that period ends.
